PDF to Word on a Mac

A Mac has three converters that never send the file anywhere: PDF to Word in this browser tab, Word for Mac's File, Open, and Automator's Extract PDF Text action, which writes the text as RTF for any editor. Preview copies text from a page, scans included. Pages cannot open a PDF. This guide gives each route, what it keeps, and how to check the result.

How to convert PDF to Word on MacBook or iMac in the browser

  1. Open the tool in Safari, Chrome or Firefox

    Open PDF to Word and drop the PDF on the page, or pick it from Finder. It is read in this tab.

  2. Let it rebuild the document

    The tool reads the text layer, rebuilds paragraphs and writes a .docx on the Mac. It then reads the .docx back and counts its text against the PDF.

  3. Read the count

    A count that matches the PDF means every paragraph arrived. Zero text means the PDF is a scan; use Preview's Live Text or an OCR step first.

  4. Download and open in Word or Pages

    The .docx lands in Downloads. Word for Mac, Pages, LibreOffice and Google Docs all open it. Save under a new name so the PDF stays as it was.

Convert PDF to Word Mac routes compared

Four routes run on the Mac itself. PDF to Word converts in this tab and counts the text of the .docx it wrote before the download. Word for Mac converts on File, Open with its PDF Reflow engine. Automator extracts the text as RTF with no layout. Preview copies text a page at a time and reads scans. Google Docs is the fifth route, and the only one where the file leaves the Mac.

The browser tool is the shortest path to a .docx on a Mac without Word, and the only one of the five that reports whether all the text arrived. Word for Mac keeps more layout on a complex page. The sections below give each in turn.

Word for Mac converts on the Mac

Word for Mac in Microsoft 365 opens a PDF the same way Windows Word does: File, Open, choose the file, accept the notice, and a converted document appears. The conversion is PDF Reflow, run locally. Body text, fonts that are installed, lists, simple tables, pictures and hyperlinks come through. Columns become text boxes, footnotes become paragraphs, and scanned pages become pictures. A PDF opened this way arrives in a new, unsaved document, so the original is not at risk until Save As is pointed at it. Older Word for Mac releases without the feature open the PDF as nonsense characters; the fix is the current version or one of the other routes here.

Automator: Extract PDF Text

Every Mac has Automator. Open it, create a Quick Action, set it to receive PDF files in Finder, and drag in the Extract PDF Text action from the PDFs library. Choose Rich Text to keep bold, italic and font sizes, or Plain Text for words only, set the output folder, and save the action with a name. From then on, right-click any PDF in Finder, choose Quick Actions and the name, and an RTF appears beside it.

Word, Pages and TextEdit all open RTF. Layout is not kept, tables come out as lines of text, and a scan yields an empty file, but for a report that needs its words in Word it is one right-click and runs entirely on the Mac.

Preview and Live Text

Preview selects text on any PDF page for copying. Drag across a paragraph, Command and C, paste into Word. On a scanned PDF, Live Text reads the picture and selects the words it recognises, so Preview is also the Mac's built-in OCR for a page at a time, with nothing leaving the machine. Preview cannot export to Word. Its Export menu offers PDF and image formats only, which catches people out every week.

Pages and Google Docs

Pages opens Word files, RTF and plain text but not PDF; dragging a PDF onto Pages inserts it as a picture. To get PDF text into Pages, convert to .docx in the browser tab or in Word, then open the .docx in Pages. Google Docs converts a PDF placed in Drive with Open with Google Docs, on Google's servers and with OCR, and downloads as .docx; it drops most layout, and the file leaves the Mac, which is the trade the local routes avoid.

The phone routes are narrower than the Mac's, because the Word app on a phone converts through Microsoft's service, though the browser tab works there too. PDF to Word on a phone has that side.

Fonts and the round trip

A Mac has different fonts from a Windows machine, so a PDF made on Windows converts with substitutions unless the fonts are installed. Calibri and Cambria ship with Word for Mac; Arial and Times New Roman ship with macOS; a corporate font does not, and Word swaps in the nearest, which moves line breaks. Font Book shows what is installed. The browser tool records the font name the PDF used, so the substitution happens when the .docx opens, not when it is written.

Exporting the edited document back to PDF is File, Save As, PDF, choosing Best for electronic distribution to keep hyperlinks and an outline.
