Merge word documents into a PDF
Export each Word file to PDF, then merge the PDFs. Word can insert one document into another, but that route fights you over page numbering, headers and styles. Exporting first fixes every page before anything is joined, so what you see in each part is what lands in the finished file.
Two routes, one good one
Word can insert the text of one document into another, which merges the content and then merges the formatting problems. Two files with different styles, different headers and different section setups do not politely combine.
Exporting each file to PDF first freezes its layout. After that the join is a page operation, and page operations are reliable. This is the route to take unless you actually need to keep editing the combined text.
Export each document to PDF
Every recent version of Word saves or exports directly to PDF, on Windows and on macOS. Google Docs, Pages and LibreOffice Writer all do the same. Check the page numbering in each export before moving on, because it is much easier to fix at this stage.
Export the whole document rather than a print selection, unless you deliberately want part of it. A print range that stops mid-section is the usual source of a missing page nobody notices until the file is sent.
Merge the PDFs
Open the merge tool, add the exported files, and drag them into order. It needs at least two files. Nothing is uploaded: the join happens in the browser tab and the result downloads straight to your machine.
Before it hands anything over it reopens the output and compares it against the inputs. The page count, the exact text of every page and every page width and height have to match, or you get nothing to download.
What happens to page numbers
Each Word file numbered its own pages, so the combined PDF restarts at every join. That is not the merge misbehaving; the numbers were drawn onto the pages before the files ever met.
The fix is the stamp tool. Add page numbers across the merged document in one of nine positions, with a style that can include the total, and the running count is correct end to end. The old numbers stay, so place the new ones where they do not collide.
Headers, footers and section breaks
These are baked into each export, exactly as they appeared in Word. A document whose header names its own title carries that title into the combined file, which reads oddly on a merged report.
If that matters, fix the headers in Word before exporting, not afterwards. Once a page is a PDF page, changing its header means editing page content, which is the hard kind of change.
What a merge does not carry over
Bookmarks, interactive form fields, custom page labels and attachments do not survive, because merging copies pages rather than the structures above them. The tool reads every source file first and names which of yours carry any of those, so nothing goes missing silently.
Document properties are cleared as well. The merged file carries no title, author, producer or dates from any of its sources, which is usually welcome when the parts came from different people.
Check the result
Look at the pages either side of each join rather than reading the whole document. A missing final page or a duplicated cover is invisible to you and obvious to whoever reads it next. An export also picks up whatever the print setup was at the time, so check the first and last page of each part rather than assuming Word sent all of it.
