Sign a word document
You can sign a Word file in place, or export it to PDF and sign that. The PDF route is the one that survives being emailed, because a Word document is still editable when it lands and a signature inside it is only as fixed as the paragraph around it. This guide covers both.
Two different jobs
Signing a Word document usually means one of two things. Either you are the person who has to put a name on it, or you are preparing a document for somebody else to sign. The answers pull in opposite directions.
If you are signing, export to PDF and sign the PDF. If you are preparing, leave a clear signature line and send a PDF anyway, because a Word file invites the recipient to edit the terms while they are in there.
A signature line in Word
Word can insert a signature line, which places a marked area with a name and title under it. On its own it is a printed line with a label. It tells the reader where to sign and holds nothing cryptographic.
That is often exactly what you want when the document is going to be printed, or exported to PDF and signed with a drawing. Microsoft moves the ribbon around between versions, so look under the insert commands rather than following a menu path from an old article.
A picture of your signature in Word
Insert an image of your handwriting the way you would insert any picture, and set it to sit in front of the text so it does not push the paragraph around. Crop it tight and use a PNG so the white background does not cover the line beneath.
The catch is that the recipient can select the image, drag it, delete it, or move it to a different document. It is a picture in an editable file, which is a weaker position than the same picture in a PDF.
A certificate signature in Word
Word can apply a real digital signature using a certificate, marking the document as final and reporting a change afterwards. It is a Windows feature in practice, and it needs the same certificate covered in the certificate guide.
The signature applies to the Word file. Export that file to PDF and the signature does not come with it, because a new document is being written. If the PDF has to carry a certificate signature, sign the PDF.
Why the PDF route survives being emailed
A PDF fixes the layout. Fonts, page breaks and spacing arrive as they left, and the signature stays where you put it. A Word file reflows against whatever fonts the recipient has, which moves a signature image away from the line it belonged to.
It also stops the casual edit. Nobody changes a payment term in a PDF by accident, and the file that gets filed is the file that got agreed.
Export, then sign

After the signature
Signed contracts get emailed, and a signature photograph makes a document heavier than the mailbox wants. The compress tool takes a size target and checks the text is still selectable before it hands the file over.
