Merge PDFs on a Mac
A Mac can combine PDFs three ways. Preview joins files by dragging one into another's thumbnail sidebar. Finder's Create PDF Quick Action joins a selection in one click. The merge tool in Safari, Chrome or Firefox shows each file's page count, puts files in order with arrow buttons, and builds one PDF in the tab. Pick the one that fits the job.
How to merge PDFs on a Mac with Preview
-
Open the first PDF
Double-click the PDF that should come first. It opens in Preview.
-
Show the thumbnails
Choose Thumbnails from the View menu, or press Option, Command and 2. Every page appears in the sidebar.
-
Drag in the second PDF
Drag the next PDF from Finder into the sidebar and drop it between the thumbnails where it belongs.
-
Save as a new file
Choose Export as PDF from the File menu and give the combined document a new name, so the first file stays as it was.
Merge two PDF files on a Mac in Preview
Preview is the route most Mac users already have. Open the first document, turn on the thumbnail sidebar, and drag the second PDF from Finder into it. Drop it between two thumbnails to insert it there, or below the last one to add it to the end. Drag single pages around in the sidebar to fix the order, then export under a new name.
Drop between thumbnails, not on one. A file dropped onto a page thumbnail can attach to that page instead of joining the document, and the sidebar looks almost the same either way. The other route in Preview is Insert, then Page from File, in the Edit menu, which adds a whole PDF after the selected page.
Combine PDFs on a Mac from Finder
Select the files in Finder, Control-click the selection, and choose Create PDF from Quick Actions. Finder writes one new PDF next to the originals. It also works for a mix of PDFs and images, which makes it handy for a set of photographed receipts.
Finder decides the order from the selection, so rename the files with a leading number, such as 01, 02 and 03, before you select them. Open the result and check the first page of each part before you send it.
Combine PDFs on a Mac in the browser
The merge tool opens in Safari, Chrome or Firefox. Drag the files from Finder onto the page and each one shows its page count, so you can see straight away that the right documents are loaded. Set the order with the arrow buttons, press merge, and one PDF lands in Downloads.
The work happens in the tab, so a contract or a medical file stays on the Mac, and the merged file carries no author or title from any of the sources. For exactly two documents, merge two PDF files is the same engine with less on the screen.
Which way to pick
For two short files you already have open, Preview is quickest. For a folder of numbered scans, Finder's Quick Action takes one click. For anything you will send to someone else, the merge tool shows the page counts in and out, so a missing chapter is obvious before the email goes.
Merge before you sign or compress. A signature belongs on the finished document, and merging first and compressing second means the size limit is met once, on the file you actually send.
After the merge
Scroll to the first page of each part and check it is the part you expected. A reversed pair is easy to miss when you made the file and obvious to the person who receives it.
How to combine PDF files covers order, page sizes and what carries across in more depth, and merge PDFs on Windows is the same job on a PC. The merge hub lists the rest.
Questions people ask
- How do I merge 2 PDF files on a Mac without extra software?
- Open the first file in Preview, show the thumbnail sidebar, drag the second PDF from Finder into the sidebar and export the result under a new name. Every Mac has Preview.
- Why did Preview not add my PDF to the document?
- It was dropped onto a page thumbnail instead of between two thumbnails. Drag it again and drop it in the gap, or use Insert, then Page from File, in the Edit menu.
- Can Finder combine PDFs on a Mac?
- Yes. Select the files, Control-click, and choose Create PDF from Quick Actions. Finder writes one new PDF next to the originals. Number the file names first so the order comes out right.
- Are my PDFs uploaded when I merge them in a Mac browser?
- No. The merge tool reads and joins the files inside the browser tab on the Mac. Nothing is sent to a server.
- Does merging on a Mac keep the text selectable?
- Yes. Preview, Finder and the merge tool all copy the pages as they are, so text stays text and links on the page keep working.
