# Convert Apple Numbers to PDF

Numbers exports its own PDF, and no converter here reads a .numbers file. On a Mac choose File, Export To, PDF. Every sheet becomes at least one page, and a wide table spills across several unless you set Content Scale or Auto Fit in Print Setup first. On an iPad tap More, Export, PDF. Compress PDF shrinks the result if it is too large.

## Steps

1. **Open the print setup.** Choose File, Print. Numbers switches to a print preview with a panel on the right. This panel decides how each sheet is cut into pages.
2. **Set orientation and scale.** Pick landscape for a wide table. Drag Content Scale down, or tick Auto Fit, until the preview shows the table on one page across.
3. **Switch on the extras you need.** Page numbers, repeating table headers and the sheet name are checkboxes in the same panel. Repeat headers matter for a table that runs to several pages down.
4. **Export the PDF.** Choose File, Export To, PDF. The export uses the print setup you saved. Check the page count in the export against what the preview showed.

## Why the print setup matters more than the export

Numbers has no page grid while you work. A sheet is a canvas that can hold several tables, charts and text boxes anywhere, and only the print setup decides where the page edges fall. Skip it, and a convert Numbers to PDF export puts each sheet on as many pages as the canvas needs, cutting tables at column boundaries you did not choose.

The panel that appears after File, Print holds everything: paper size, portrait or landscape, the Content Scale slider, the Auto Fit box, page numbers, and Repeat Table Headers. Auto Fit shrinks the whole sheet until it fits one page in width. For a long table that still needs several pages down, set the scale by hand so the type stays readable, and switch on repeating headers so every page names its columns.

### Several sheets, one PDF

The export includes every sheet in the file, in tab order, each starting on a new page. To export one sheet, delete or move the others in a copy of the file, or set the page range in the print dialog and choose Save as PDF from the PDF menu at the bottom left.

## What the export keeps

Cell text and numbers, the number formats, borders and fills, conditional highlighting as it looks at export time, charts as sharp vector drawings, and images. Formulas are gone in the sense that the PDF holds only the results. Filters and sorts apply as set. Hidden rows and columns stay hidden. Comments are not printed.

## Numbers on iPad, iPhone and iCloud.com

Tap the More button (three dots), tap Export, then PDF. The page layout options that matter, orientation and fit, are in the same sheet. Choose Save to Files or send the PDF by Mail. On iCloud.com, open the spreadsheet in Numbers for iCloud, click the More button and choose Download a Copy, then PDF. That route works in a browser on Windows or a Chromebook once the .numbers file is in iCloud Drive.

### Only the .numbers file, no Apple app

Ask the sender for an Excel export, or make one on iCloud.com with Download a Copy, Excel. ## Shrinking the exported PDF

A Numbers export is small unless the sheet holds photos or a screenshot. When it is over the limit, drop it on [Compress PDF](https://pdfpix.com/compress-pdf/), type the limit as the target, and the tool tries more than one method and keeps the smallest result that still opens. It reads the compressed file back before the download, so the pages and the cell text are confirmed. Charts and text are vector data and take almost no space; the savings come from images.

The reverse trip, from a PDF back into a spreadsheet, is a table extraction and works when the PDF has real text. Numbers imports a .xlsx, so the route is PDF to Excel first. ### Why is my Numbers table split across several PDF pages?

The print setup was never set. Choose File, Print, pick landscape, and tick Auto Fit or lower Content Scale until the preview shows one page across. Then export again.

### Is there a Numbers to PDF converter online?

Not on this site: no converter here reads a .numbers file. Use Numbers for iCloud with Download a Copy, PDF, or export a .xlsx and convert that with Excel to PDF here.

### Can I export only one sheet from Numbers as a PDF?

Choose File, Print, set the page range for that sheet in the print dialog, and choose Save as PDF from the PDF menu. The Export To PDF command always includes every sheet.

### Do formulas survive in the Numbers PDF?

No. The PDF holds the calculated values as text. A recipient who needs the formulas needs the .numbers or a .xlsx export instead.

### How do I get the column headers on every PDF page?

Tick Repeat Table Headers in the print setup panel. Each page of a long table then starts with the header row.

### Are the charts in the PDF sharp when zoomed?

Yes. Numbers draws charts as vector shapes in the PDF, so they stay crisp at any zoom and add very little to the file size.
