# Convert a bank statement PDF to Excel

A bank statement carries an account number, a name and every transaction, so the converter should be one that sends it nowhere. PDF to Excel reads the statement in this browser tab, detects the transaction table from aligned text, writes each cell as text, and reopens the workbook to compare rows and cells before download. The bank's own export, the failure points and reconciling the total follow.

## Steps

1. **Check the statement is not a scan.** Select-all in the PDF. A downloaded statement highlights word by word. A photographed or scanned one highlights as a block and needs OCR first; the tool refuses it.
2. **Convert in this tab.** Open the PDF to Excel tool, choose the statement, keep the detected transaction tables selected and untick summary boxes you do not want. Download the workbook after the check passes.
3. **Clean up and type the columns.** With the default layout, every page's table lands on one worksheet in page order, with an empty row between tables. Delete the repeated headers and the empty rows, then turn the amount and date columns from text into numbers and dates.
4. **Reconcile.** Opening balance plus credits minus debits must equal the closing balance printed on the statement. If it does not, find the row the detector split or merged.

## Why the route matters more than usual

A statement is the document most people would least like to leave their machine, and it is the one most often dropped into an online converter. Bank statement PDF to Excel converter sites work by uploading the file to a server, converting there, and letting you download the result; the transaction data sits on that server for as long as their terms say, and some terms do not say.

## Convert a PDF bank statement to Excel in the browser

[PDF to Excel](https://pdfpix.com/pdf-to-excel/) groups aligned native text into rows and columns and shows each table it finds with the source page beside it. Statements usually yield one transaction table per page plus small summary tables for balances and interest; keep or drop each one. Every value is written as text, so nothing in the statement can run as a formula when the workbook opens. The tool reopens the XLSX and compares worksheet names, row counts and every cell with what it detected, and rejects a file with macros, formulas, external links or hidden sheets.

## Where statement tables break

Descriptions wrap. A card payment description that runs to a second line is a second visual row with an empty date and amount, and a detector reads it as a row. After conversion, look for rows with a description and no amount and merge them into the row above, or filter them out if the first line is enough.

Amounts sit in separate Money In and Money Out columns on many statements, or in one column with CR and DR markers, or in brackets for debits. Decide which convention the statement uses before writing the reconciliation formula. A running balance column is a gift: each row's balance minus the previous row's must equal that row's net amount, which finds a split row at once.

## Text to numbers, dates to dates

Select the amount columns and run Data, Text to Columns with no delimiter and Finish, which re-reads each cell as a number; strip currency signs first with Find and Replace. For bracketed negatives, a helper column with =IF(LEFT(A2,1)="(",-VALUE(MID(A2,2,LEN(A2)-2)),VALUE(A2)) reads them. Dates without a year, common on statements, need the year appended before Excel parses them; a helper column with the statement's year and DATEVALUE does it.

Save the workbook only after the amounts are numbers, and keep the PDF beside it. The workbook is a derived document; the statement is the record.

## The bank’s own export is the better source when it exists

Most online banking offers a download of transactions as CSV, OFX or QIF for a chosen date range. That file has one row per transaction with typed amounts and dates and no wrapped descriptions, because it never went through a page layout. When you have the login, take that route and use the PDF only for the periods the bank no longer exports.

Accountants receiving statements from clients rarely have the login, which is why the PDF route exists. ## PDF to Excel bank statement reconciliation

Three checks close the job. The row count of transactions matches the statement, after wrapped lines are merged. The sum of debits and the sum of credits each match the totals the statement prints in its summary. Opening balance plus credits minus debits equals the closing balance. When all three hold, the workbook is a faithful copy of the statement's figures.

## Questions and answers

### What happens to my statement on an online converter?

Sites that upload the PDF hold the transaction data on their server under their terms. PDF to Excel parses and checks the statement in this browser tab and sends nothing.

### Can each statement page get its own sheet?

Yes. Choose One per page before you convert. The default, One sheet, stacks every page's table on one worksheet with an empty row between tables. A workbook holds up to 128 worksheets.

### Why are there rows with a description but no amount?

A description wrapped onto a second line in the PDF. Merge that text into the row above, or filter the rows out.

### How do I check the converted statement is complete?

Reconcile: opening balance plus credits minus debits must equal the closing balance, and the row count must match. A mismatch points to a split or merged row.

### Can I convert a photographed statement?

Not until OCR has read it. The tool needs selectable text and refuses a scan. After OCR, run the same reconciliation with extra care on the digits.
